Choosing a hotel PMS in Thailand takes more than a feature list
A PMS (Property Management System) runs the core of a hotel: reservations, check-in, room assignment, billing and the daily night audit. The problem is that many systems sold in Thailand were designed for other markets and translated into Thai later.
The result is staff doing work outside the system: filing TM30 by hand, issuing tax invoices separately, or matching PromptPay transfers manually. This article lists 8 things a hotel PMS in Thailand should handle, so you can compare vendors before you decide.
8 things a hotel PMS in Thailand must handle
1. TM30 reporting on time

2. e-Tax Invoice and e-Receipt
The Thai Revenue Department encourages electronic tax invoices, and they are a condition of tax measures such as Easy E-Receipt that Thai guests use for deductions. If the PMS issues these straight from the folio, accounting stops re-keying, and the hotel can sell rooms more easily during tax-incentive campaigns.
3. The way Thais actually pay
Most Thai guests pay by PromptPay and bank QR codes. The PMS should receive these payments and match them to the room folio automatically, instead of staff checking slips one by one. Paired with an in-hotel cashless system, end-of-day closing gets much faster.
4. Real-time OTA and Channel Manager sync

Thai hotels sell across many channels at once: international OTAs, Asian travel sites, and room vouchers on marketplaces. The PMS needs two-way sync with a Channel Manager to prevent overbooking, plus a website Booking Engine to grow commission-free direct bookings.
5. POS posted straight to the room
Restaurant, bar, spa and minibar charges should post to the guest's room instantly. When POS and PMS are one system, guests find no missing charges at checkout and accounting skips cross-system reconciliation.
6. Thai language on screens and documents
Not just translated menus, but receipts, tax invoices, reports and the terms Thai staff actually use. A system staff understand quickly cuts training time, which matters in a business with high turnover.
7. Local support that understands hotels
Problems tend to hit during the 2 a.m. night audit or a fully booked festival weekend. Ask whether the vendor has a team in Thailand, answers in Thai and can come on site. A team with hotel experience understands front-desk problems faster.
8. Guest data handled under PDPA
Hotels hold a lot of personal data: passport numbers, phone numbers and stay history. The PMS should set access by role, log who viewed what, and help the hotel comply with Thailand's Personal Data Protection Act (PDPA), such as getting consent before sending promotions.
Checklist before choosing a hotel PMS
Take these questions to every vendor demo.
- Can it capture foreign guest data and export it for TM30?
- Does it issue e-Tax Invoice / e-Receipt from the folio, or need a separate system?
- Does it accept PromptPay / QR and reconcile automatically?
- Are Channel Manager and Booking Engine part of the same system, or several vendors to connect?
- Can POS post charges to rooms in real time?
- Are documents and reports fully available in Thai?
- What are support hours, is there a team in Thailand, and can they come on site?
- Can it set user permissions and keep logs under PDPA?
- How long does data migration take, and does the hotel need downtime?
Frequently asked questions
What is a hotel PMS?
It is the system that runs a hotel's core operations: reservations, check-in/check-out, room status, housekeeping, billing and reports.
How is a PMS different from a Channel Manager?
The PMS runs operations inside the hotel, while the Channel Manager sends rates and availability to OTAs. The two must be connected to prevent overbooking.
Does a small hotel need a PMS?
If you sell on more than one OTA, or file TM30 for foreign guests every day, a PMS cuts workload and errors significantly.
Cloud PMS or on-premise?
Cloud works from anywhere with no server to maintain, but ask about the fallback plan when the internet drops and where guest data is stored.
How long does switching PMS take?
It depends on room count, systems to connect and data to migrate. Ask the vendor for a plan with parallel-run dates and staff training dates.
SORASO: the hotel PMS on the hotelier's side
SORASO is a hospitality platform built in Thailand by Smart Finder. It brings PMS, POS, Channel Manager, Booking Engine, Mobile Hospitality, Cashless and interfaces to other systems into one place, and can be customized to how each hotel works. We call this approach Hospitality Native.
